Click the links below to find out what to do in an emergency at the Polk Museum of Art. Note that these are general guidelines and that each situation is unique. You must use common sense and your best judgment to protect life first, artwork second and the building third. Employees of the Museum have a duty to protect the visitors and the artwork in that order.
RUN - Get out of the building and take as many people with you as you can
HIDE - Lock yourself and those around you somewhere safe if you can’t get out
FIGHT - As a last resort, fight with everything you have
TO SAVE LIVES: Bring the elevator up to the 2nd floor and put a bench in the doorway to prevent it from closing. Next, lock down the second floor with the lockdown chain. Leave the building via the other stairwell or hide
Get as much information as possible. There is a bomb threat checklist under each phone in the building
Report in-person to Gregory or Security instead of using the radio on a cell phone which may trigger the device
Security will call 911 using a landline
Evacuate to the tile plaza if ordered
Call Joe, Peter, or Gregory and inform them what chemical was being used and where
Get the MSDS sheets from the custodial closet either upstairs or downstairs
Evacuate the area if necessary
Unplug the network cable, which is usually yellow, from the back of your computer or turn off Wi-Fi
Take screenshots of every message that appears on the screen with your phone
Call Gregory
Call Curatorial Department (or Gregory if they are not available)
Don't let anyone touch the artwork (leave it where it is)
Photograph the damage without touching it.
Curatorial will take care of moving the object
- Get out of the building but don't use the front door in case the front awning is unstable
YOU should pull the nearest fire alarm pull
Leave the building and make sure all visitors are leaving with you
Don't use the elevator
Turn off the water source if possible.
Call Joe, Gregory, or Peter
Call the Curatorial Department
Call Security, Gregory, Joe, or Peter if you smell gas outside the kitchen
Don't turn on or off any light switches or appliances
Wait for instructions from Security or Operations
Call 911 if it is life threatening, otherwise have Security call 911
Notify Security so they can send someone out front to wait on the ambulance to guide them to the location of the victim
Send someone to get the first aid kit, trauma kit or AED if necessary
Declare "Code Adam" on the radio and phone intercom
Announce a description of the child on the radio and the phones
Security will lock the front door and remain at the doors
All staff will search the building for 10 minutes
If the child has not been found in 10 minutes, call 911
If the child has been found and appears to be OK, give them back to their parents or guardians
If the child is with a person other than their guardians, we can not physically stop them but try and verbally stop them until the police arrive
If the Museum does not have power, we are closed
Security should lock the front door
Staff should take their flashlights and search the building for visitors and escort them to the Hollis Gallery (main lobby). If it is after dark, visitors will be asked to leave.
We have emergency lighting but it will only work for a limited time and then shut off
Gregory will make an announcement on each radio channel to turn to CHANNEL 1 (emergency channel). He will then give further instruction from channel 1. Stay off the radio unless you have critical information.
A Museum staff member (Pal if she is there) will make an announcement from Stage that we are closing the show due to weather and everyone should leave in an orderly fashion.
MayFerry drivers (passenger golf carts) shall tell visitors that we are closing the show as they make their final few rounds
Staff and volunteers shall walk, starting with the closest artists to them, and verbally tell artists and visitors that we are closing the show due to an approaching storm.
Staff closest to each end of the show shall use the megaphone by Security to make the announcement “May I have your attention, please. Due to (an approaching storm) (a security incident), we are closing Mayfaire at this time. Please evacuate the area immediately in an orderly fashion.” They shall continue to make the announcement while walking toward the stage.
Call Gregory, Pal, or Alex if available, otherwise, use your best judgment as to whether we need to shut down the 2nd floor or the entire Museum. We would shut down the second floor if we have kids’ art camp going on.
If we shut down the 2nd floor an announcement will be made on the phone and radios that we are "shutting down the 2nd floor"
Security, Joe or Peter should turn off power to the elevator
Either Gregory, Marilyn or someone in Admin/Education needs to lock the 2nd-floor stairwell door, the admin door, and tell the classrooms to go on lock-down.
Follow instructions given by federal, state, and local authorities
Make sure you have at least one week’s worth of food, water, and medication for your family at all times at home. Never let your gas tank get below 1/2 a tank.
Call the Curatorial Department to make sure they have not removed the artwork
Call Gregory so he can call the police to report the theft
Loren or Laura will inform the lender and the insurance company
Install a weather alert app on your phone NOW before bad weather strikes!
If a tornado strike is imminent, get everyone to an interior room with no windows, preferably a small room such as the restrooms. If this is not possible, get under a desk, table, or bed.
Report any vandalism to Security
Security will call 911 and fill out an incident report
Treat the area as a crime scene (do not disturb it)
Inform Curatorial if it involves artwork
Always inform Gregory of vandalism, even on weekends
CALL 911 IF SOMEONE IS THREATENING THE USE OF VIOLENCE
De-escalate the situation
If you start getting angry, take a deep breath and calm down
Don't start yelling or shouting back at them
Let them vent and voice their opinion. Listening to what they are saying
Empathize with or agree with what they say if you have to until you can get away from them
